The main 2027 clinical research conferences run from CTIP Europe in Basel on February 9 and 10 to the DIA 2027 Global Annual Meeting in San Diego from June 28 to July 1 [5][6].

Most clinical research conferences on the 2027 calendar sit in the US, while Europe has a smaller cluster and India and Asia-Pacific have few dated meetings yet. Pick events with a three-question fit test: who the team needs to meet, what it needs to learn, and what the budget can carry.
Who the team needs to meet narrows the list first, because audiences differ more than agendas. An operations lead weighing ACRP against DIA is choosing between the sites that enroll patients and the teams that shape the protocol.
What the team needs to learn sorts what remains. ACRP attendees can earn up to 24 ACRP contact hours toward certification [2], and those hours make the trip part of a training plan. ACRP registration also includes on-demand sessions, a partial answer for staff who cannot travel [2].
Program themes sort the list further. For an attendee, a clinical research conference costs registration, travel and staff days away from active studies, and event pages price only the registration.
Where a price is printed, two-day London meetings sit in the hundreds of pounds. Global Clinical Trials Connect lists £470 to £950 [3], and a clinical trial supply chain conference in March 2027 lists £497 plus VAT [14]. Discounts printed on event pages move those prices. SCOPE gives staff of top-50 pharmaceutical companies 25% off [1], Global Clinical Trials Connect sells three seats for the price of two [9], and ACRP prices groups of ten or more separately [2].
Travel follows the calendar: the US meetings are domestic trips for a US team, while Basel, Prague and London add a transatlantic flight, and the reverse holds for a European team. The events' travel pages are where to start pricing it: ACRP's 2027 page has a hotel and travel section [8], and AACR's meeting page lists accommodations and travel [11].
Staff days grow with the length of the meeting: SCOPE and ACRP each run four days [1][8], four days a coordinator or operations lead spends away from studies.
The other side of the exhibit hall
The same event that is a learning trip for a buyer is a sales channel for the vendors in the hall, and some events sell that channel directly. They sell it as a paid one-on-one meeting program (also called a hosted-buyer or partnering program), a package in which a vendor pays the organizer to book meetings with sponsor and CRO attendees in advance. One 2020 summit brochure shows the mechanics: exhibitors pick prospects from the registration list, and the organizer books the meetings [15].
Event pages for 2027 advertise these programs in their own words. The Boston summit pairs qualified, pre-scheduled one-to-one meetings with sponsorship packages aimed at leads [7]. CTIP Europe calls itself an invitation-only B2B gathering [16] and offers sponsors curated 1:1 meetings with CRO and trial executives [5]. Future Biotech Expo 2027 runs a hosted buyer program of pre-qualified 1:1 meetings [17].
The programs vary, though: at BioCentury's Grand Rounds, partnering meetings come with the ordinary pass [18]. None of these pages prints what the programs cost or how many meetings they promise.
So a vendor met in a scheduled meeting may have paid for the slot. That is a fair way to sell, but it makes the meeting a sales call: treat it as the first step of an evaluation.
What to Ask Recruitment Vendors You Meet at Clinical Research Conferences
Treat a conference conversation with a recruitment vendor as a first screen on four questions: capability, compliance, track record and reporting. The first three come from vendor-selection guidance: the Society for Clinical Data Management (SCDM) says sponsors should qualify vendors on capacity, capability, experience, regulatory compliance and company stability before contracting [19], and track record is that experience, checked on studies like yours. Reporting is the buyer's own addition, because vendors can be compared only stage by stage.
Ask about capability: which part of the funnel the vendor runs
Ask this first. The Society for Clinical Research Sites advises choosing providers that fill gaps in what the sponsor, CRO and sites already do [20]. A useful answer names the steps the vendor runs, such as media or prescreening, and the steps it hands back to sites. Recruitment vendors come in several types that price their work differently, and the answer shows which type is across the table.
Ask about compliance: how materials and data are checked
Ask this before booking a second meeting. The SCDM guidance says sponsors should assess a vendor's quality management system before receiving services for a study [19]. So ask who reviews patient-facing materials, how IRB approval is tracked, and how patient data is stored and shared. This is not legal advice; confirm with regulatory counsel and the IRB of record.
Ask about track record: one comparable study
Ask this when a pitch leads with a percentage or a speed claim. Request one study close to yours in therapeutic area and population, with how its referrals moved through prescreening, consent and randomization. Set any enrollment claim against published benchmarks for how long enrollment takes, because a fast campaign on an easy protocol says little about a hard one.
Ask about reporting: what the sponsor sees in each report
Ask this when a vendor describes results in its own terms. Request a sample report, and ask the vendor to define each stage it counts, from lead to qualified referral to consented and randomized patient, because one vendor's results can be compared with another's only when both define their stages.
Follow up within 48 hours, in writing
Log who you met and what each vendor claimed. Within two days, ask each promising vendor in writing for the proof behind those claims. Compare the ones that answer side by side using vetting criteria and red flags for agencies.
